Galvin-Rowley Executive is seeking a highly organised and proactive Executive Assistant to provide critical support to our Director and wider team.
Executive Assistant (Remote | Part-Time) - East-coast Australia based preferred
10 hours per week - we are flexible on the hours worked; however the preference is for an everyday presence with Friday being essential for availability. Please note that these hours can fluctuate during busy/quiet periods.

The Role

You’ll be working closely with our Director, supporting diary management, client documentation, and stakeholder engagement across a range of projects.
We work in a fast-paced environment where occasional urgent requests are needed, requiring flexibility to turn tasks around at short notice.

Key responsibilities include:
- Executive and Team Support
Coordinate diaries, manage communications, and assist with travel and logistics. - Process and Systems Optimisation
Use platforms such as JobAdder, SharePoint and Office 365 to streamline operations, track projects and enhance team productivity. - Client and Candidate Liaison
Engage with stakeholders at a senior level with warmth, professionalism and confidentiality. - Document and Report Preparation
Prepare search documentation, candidate reports, interview summaries and client-facing material with care and polish. - Database Management
Maintain accurate candidate and client records in our CRM, ensuring data integrity and compliance. - Candidate & Client Engagement
What You Bring
- Proven experience in an Executive Assistant or senior administrative role, ideally within professional services or consulting.
- Excellent time management, communication and writing skills.
- Advanced proficiency in Microsoft Office and cloud-based platforms; prior experience with JobAdder is highly regarded.
- A proactive, solutions-oriented mindset and a high level of emotional intelligence.
- The ability to work independently while contributing meaningfully to a close-knit, collaborative team.
